We house an integrated media planning and buying team, Connections team built to serve all aspects of comms and experience strategy, and Influence team focused on social expertise and influencer execution. 

As our Media, Connections and Influencer business unit continues to expand, we are seeking a Media Operations Manager to help drive process evolution across the department. We’re looking for someone with media agency experience who is well-versed in managing media and financial workflows across many stakeholders, as well as different departments or disciplines. The Media Operations Manager will focus on connecting work between Media Strategy and Finance teams to ensure proper management of client budgets and media billing across R/GA Media. This role is perfect for someone who is excited by the opportunity to influence and motivated by driving change.

In this role you’ll partner with the Group Director, Media Operations and Associate Director, Media Operations to oversee key day-to-day operational tasks, with an emphasis on supporting R/GA’s media buying practice. The ideal candidate should be passionate about creating cross-functional processes, while mentoring or training peers on best practices.

Here’s what you should know if you want to be a Media Operations Manager at R/GA:

General Responsibilities 

  • While the Media Strategy team focuses on the day-to-day, look ahead and prepare the department for operational growth; ability to anticipate risk(s) and propose recommendations in partnership with Operations leadership
  • Provide troubleshooting support for media accounts, enable and improve communication between disciplines, and liaise across offices to resolve issues in a timely manner 
  • Assist with new client onboarding or transition plans on an as-needed basis, providing clear direction on account set-up needs related to budget management and billing workflows 
  • Support with onboarding new team members and R/GA Media standard operating procedures

Finance support: Billing and Reconciliation

  • Partner with Media Strategy team to drive best-practice implementation across all clients, and assist with account-level QA needs to monitor accuracy of billing inputs
  • Provide day-to-day operational support to the Finance team, including oversight of monthly client media billing workflows and ongoing vendor reconciliation process
  • Review ATBs (Authorizations To Buy) to ensure budget and legal compliance standards are met
  • Assist with internal escalations related to monthly invoicing; ability to advise on or lead some client communication and simplify complex billing and reconciliation topics

Operations support: Process Management 

  • Ensure standard knowledge of workflows and MediaOcean is consistent amongst team members 
  • Identify opportunities to create efficiencies between all teams/clients and evolve internal processes to enable dynamic and agile delivery of campaigns
  • Investigate automation where possible and provide recommendations on process improvements 
  • Support on the creation of training documentation and eventually lead internal training sessions for junior team members in various offices
  • Help team with organizing and saving key documents for record keeping and audit purposes

You Bring:

  • Bachelor’s degree, preferably with a concentration in advertising, business or finance
  • 4+ years of experience at a media agency in an Investment, Finance or Operations focused role
  • Excitement for driving change, creating efficiency and championing adoption of new workflows
  • Advanced computer skills, particularly Microsoft Excel and Google suite of applications
  • Knowledge of Prisma (MediaOcean) or other media buying or billing platforms a must-have
  • Hands-on experience overseeing media billing and/or media reconciliation workflows  
  • Understanding of media planning/buying processes or client management experience a plus
